What the employee onboarding gantt chart template: first 90 days process is

Onboarding is usually described as a checklist, which is accurate for the first week and misleading for the following months. After the paperwork, what matters is the sequence over time: when training ends, when the new hire starts real work, and when they are reviewed. A Gantt chart is the right shape for that, because those are durations and dependencies, not just boxes to tick.

This template has five groups: Before day one, Week one, Learning, Contributing and Reviews. The tasks before the first day are IT access and the workspace, which both start once the offer is accepted and both gate "First day", because a new hire with no laptop is the commonest early failure. In the first week, introductions and compliance training run side by side, and the 30/60/90-day goals are agreed at the end of the introductions.

Role training and shadowing then run in parallel for the first weeks, and the first project starts five days into training, with the goals already set. The check-ins and the 90-day review follow. The plan is for one hire; for a group, copy it. If you need the process rather than the schedule, see the employee onboarding process at /templates/employee-onboarding-process.

Durations are working days and are examples. Replace them with your own and the schedule follows.

What this flowchart covers

In this template

  • Five groups, Before day one, Week one, Learning, Contributing and Reviews, with 14 tasks and two milestones: "30/60/90-day goals agreed" and "Probation confirmed".
  • Preparation that gates the first day: "Laptop, accounts and access" and "Workspace ready" both start after "Offer accepted and paperwork" and both must finish before "First day".
  • A parallel first week: "Team and company introductions" and "Policies and compliance training" both follow "First day".
  • A first project that starts early: "First project" begins five days into "Role training" and waits for the goals.
  • Reviews through the period: "30-day check-in", "60-day check-in" fifteen days later, and "90-day review" after the project.

When to use this template

  • You are hiring and want every new person to have the same first three months.
  • New hires report they did not know what to do in weeks two to six.
  • A manager asks when a new hire should be doing real work.
  • You want to show a new hire their plan on day one.

The plan, task by task

Every task in the chart with its length in working days and what it waits for. A dependency is a step number; SS is start-to-start, FF is finish-to-finish, and +n is a lag in working days.

How it works

  1. Set the first-day gate

Start the IT and workspace tasks as soon as the offer is accepted and link them to the first day.

  2. Replace the learning tasks with the role's

Rename role training and shadowing for the job. Different roles need different lengths.

  3. Agree goals as a milestone

Keep the goals milestone and link the first project to it, so work does not start undefined.

  4. Time the check-ins

Place them at fixed intervals using a lag, and keep them in the plan.

  5. Copy the plan for each hire

Duplicate the chart for each new person and change the durations that differ.

  6. Connect it to the process

For approvals and checklists around hiring, use the onboarding process template.

Frequently asked questions

What should be in a 90-day onboarding plan?

Pre-boarding, a first week of introductions and compliance, role training, a first project and scheduled reviews. This template covers those and you can rename the tasks for your role.

How is this different from an onboarding checklist?

A checklist says what to do; a Gantt chart shows when, and what must be finished first. Use both: the checklist for the first week, the chart for the three months.

Can I use it for a group of hires?

Yes. Duplicate it for each person or use one chart with the common parts.

Does it track completion?

It shows progress per task if you enter it. It is not an HR system.
