Complaint handling: eight templates from intake to CAPA, warranty and recall

Complaint handling is what happens between a customer saying a product is wrong and the organization knowing whether it was, what to do for that customer and what to change so the next one does not call. The eight templates are that route in a quality department, a support team, a regulated device or food manufacturer and a furniture maker, with the escalation decision tree, the warranty claim and the product recall it can escalate into.
The core is the quality complaint process: log, acknowledge, screen for safety and reportability, investigate root cause, remedy the customer, raise a CAPA if systemic, trend. The customer complaint process is the support-desk version: a two-day acknowledgment, a severity class that sends anything serious or safety-related to management, a CAPA only for a systemic cause. The escalation decision tree decides how far a complaint goes: closed at first contact, owned by a supervisor, raised to quality, sent to management to approve compensation or referred to an ombudsman.
The regulated variants add a reportability decision early and a record that will be inspected. The medical device complaint process decides first whether the feedback is a complaint at all, screens it for harm and files any vigilance report before the device is even evaluated; the food customer complaint process screens for a genuine food safety risk and traces the affected lot when one is flagged. When the answer is that distributed product is unsafe, product recall takes over: health risk assessed, recall or withdrawal chosen, the action classified, customers notified, stock retrieved and the retrieval checked for effectiveness.
The two commercial members are the warranty claim process, which gives support, warranty, technical, finance and quality one evidence-based route from request to a confirmed remedy, and the furniture customer quality complaint process, which checks coverage, chooses between remote diagnosis and a field inspection and resolves with parts, repair or replacement. What fails is rarely the intake. It is the complaint closed on a refund with no investigation, the trend nobody reads, and the systemic cause that never reaches a CAPA. That last handoff is the nonconformance-to-CAPA family's job; a complaint that is really a support ticket belongs with customer support.
