Inventory control process: counting, discrepancy and replenishment templates
Templates for keeping the stock record true: the inventory management loop, cycle counting, discrepancy investigation, pick-face and material replenishment, demand and production planning, and the exception and WMS-downtime controls.
Inventory control is the discipline that keeps the system quantity equal to what is on the shelf. There is no single order to it — counting, investigation, replenishment and planning run alongside each other — so this family is a group: one template for the whole stock loop, the controls that correct it, the triggers that refill it, and two templates for when the warehouse or its system misbehaves.
The whole loop is drawn once in inventory management: receive, record, consume, replenish, count, correct or write off. Cycle counting keeps the blind count, independent recount and movement trace apart from the correction, with an approval limit between. A discrepancy reported from elsewhere goes to discrepancy investigation, which holds the stock and orders, traces movements, and needs the warehouse manager's approval to post. Replenishment appears twice on purpose: one refills the pick face from reserve, the other raises a purchase order at the reorder point.
The control this family exists for is that nobody adjusts inventory because they counted something. The counter who found a variance is the person who should not correct it, so count and investigation both put an independent recheck and an approval between the finding and the posting. Demand planning and production planning set the forecast and the schedule the loop replenishes against. When the WMS is down, the downtime template permits only numbered, witnessed manual transactions and makes reconciliation to the audit trail a condition of returning to normal; the exception management template gives any other stock or order incident a classification, containment and a corrective action.
A dedicated storage-phase template — slotting and location maintenance, quarantine holds, FIFO or FEFO rotation, a full physical stocktake — is not in the library; inventory management covers counting and correction as phases of the loop, not location management. Stock enters this family through warehouse inbound and leaves it through warehouse outbound; for a manufacturing stores desk the furniture raw-material templates show the same loop with shelf-life checks added.
