Fundraising campaign Gantt chart template: print lead time and matching gift
An editable fundraising campaign Gantt chart: case for support, donor segments, a matching-gift wait, print lead time, mail and email waves, thank-yous and results review, with dependencies and milestones.
What the fundraising campaign gantt chart template: print lead time and matching gift process is
A fundraising campaign looks like marketing, but its schedule is shaped by two things that marketing plans rarely have. One is a print order that cannot be changed once it is placed. The other is a promise to supporters, such as a matching gift, that has to be confirmed by someone outside your organisation before you can describe it. A timeline shows which of these decides the launch date and how much room the rest has.
This template has four groups: Case and audience, Creative and partners, Launch and waves, and Thanks and results. It has 21 tasks and four milestones. "Agree the campaign goal and audience" (3 working days) is the only starting task. "Write the case for support" (5) and "Segment the donor list" (4) run side by side and meet at "Case and segments approved", the gate that creative work, the partner ask and the web build all wait for. Nothing is designed or printed on a case that may still change.
After that gate three things run at once. "Design the appeal letter and reply form" takes 6 working days. "Ask the matching-gift partner to confirm" (2) leads to "Wait for matching-gift confirmation" (8), a plain wait with a duration you replace with what your partner tells you. And "Build the donation page and email templates" takes 5. The sequencing choice that matters is that "Print the appeal pack" (10) waits for both the design and "Matching gift confirmed". In the illustrative numbers the design is ready on working day 14 and the confirmation arrives on day 18, so the partner, not the creative work, decides when printing starts. The email and the page can be corrected later, so "Add matching-gift wording to page and emails" (2) only needs the confirmation. Printed copy cannot.
"Campaign launch" needs the printed pack and "Test the donation page and receipts" (2). The page is ready on day 22, six days before the printed pack arrives on day 28, so the 10-day print task sets the launch date, not the digital work. Mailing and email then overlap: "Send email wave 1" (2) starts 1 working day after "Send mailing wave 1" (3) starts, with a start-to-start link, so the email lands while the mail is arriving. "Send reminder email and second mailing" (3) follows email wave 1 after a 5-day gap. "Send thank-you letters and receipts" (10) starts 3 working days after mailing wave 1 starts, so early gifts are thanked while the campaign is still running, and a finish-to-finish link keeps it going until 5 working days after the reminder wave ends.
"Thank-yous complete" is a gate on purpose. "Review campaign results" (3) and "Plan the next appeal" (4) both wait for it, because an appeal sent to people who have not yet been thanked for the last one is the expensive mistake in this kind of plan. The plan is 52 working days in total, and every duration is illustrative: replace them with your own print, partner and mailing times. A timeline schedules the work. It does not make a matching gift real, a mailing compliant with the rules that apply to you or a campaign successful. What this flowchart covers
In this template
- Four groups, Case and audience, Creative and partners, Launch and waves and Thanks and results, with 21 tasks and four milestones: "Case and segments approved", "Matching gift confirmed", "Campaign launch" and "Thank-yous complete".
- A case-for-support gate: "Write the case for support" and "Segment the donor list" run together and everything creative, partner and digital follows "Case and segments approved".
- A partner wait that holds the print order: "Wait for matching-gift confirmation" (8 working days) leads to "Matching gift confirmed", which "Print the appeal pack" needs together with the design.
- Overlapping waves: "Send email wave 1" starts 1 working day after "Send mailing wave 1", and "Send reminder email and second mailing" follows after a 5-day gap.
- Thank-yous that run alongside the campaign and gate what comes next: "Send thank-you letters and receipts" overlaps the waves, and "Thank-yous complete" comes before "Review campaign results" and "Plan the next appeal".
When to use this template
- You are planning a year-end, emergency or regular appeal and need to know whether print lead time or a partner decides the launch day.
- You have a matching gift or a similar partner promise and want to see how much a late confirmation moves the printed pack.
- The launch is tied to a fixed date, such as an event or a season, and you want to check that print, partner and web work fit before it.
- You run appeals every year and want a standard plan to resize each time, with the thank-yous kept ahead of the next ask.
The plan, task by task
Every task in the chart with its length in working days and what it waits for. A dependency is a step number; SS is start-to-start, FF is finish-to-finish, and +n is a lag in working days.

How it works
Fix the case before anything is made
Keep "Case and segments approved" as the gate for creative, partner and web work. If the case is already settled, shorten "Write the case for support" and "Segment the donor list" to a few days.
Replace the partner wait
Set "Wait for matching-gift confirmation" to what your partner tells you. If the confirmation can come after printing and the pack will not mention it, remove the link from "Matching gift confirmed" to "Print the appeal pack".
Use your real print time
Set "Print the appeal pack" to the lead time from your printer or mailing house. It is the longest task before launch, so a change here moves "Campaign launch" more than any other.
Check the overlaps and the gap
The 1-day start-to-start link lets email start while mail is going out, and the 5-day gap before "Send reminder email and second mailing" is a choice. Change both to suit your donors and your sending limits.
Pin the date if it is fixed
If the launch date is fixed, give "Agree the campaign goal and audience" a Start on the day you begin and "Campaign launch" a Start on the fixed date. Then read the conflict flag, which names the earliest date the work allows.
Add owners, share and export
Put the person responsible for each task in People, share the chart as a link with the team and your partner contacts, and export a PDF or PNG for the committee.
Frequently asked questions
Why does printing wait for the matching gift?
Because printed words cannot be corrected. In this template "Print the appeal pack" needs both the design and "Matching gift confirmed", while the email and the page only need the confirmation before "Add matching-gift wording to page and emails". If your pack does not mention the match, remove that link and the print order can start earlier.
My launch has a fixed date. Can the chart check it?
Yes. Give the first task a fixed Start on the day you begin, then give "Campaign launch" a fixed Start on the date you set. The plan is scheduled forward, so if the print and partner chain cannot finish by then, the milestone is flagged with a conflict. Compare the finish date with the date you need and shorten or overlap the tasks that decide it.
Does the chart know whether the partner has confirmed?
No. It shows when you plan to hear and how long you plan to wait. When the partner answers, change the duration of "Wait for matching-gift confirmation" and the dates after it move.
Why are the thank-yous before the next appeal?
"Thank-yous complete" is a gate for "Review campaign results" and "Plan the next appeal", so the next ask cannot be planned ahead of the thanks for this one. If you plan the next appeal in parallel, delete the link, but check how the two will reach the same donors.
Does a timeline make the campaign compliant?
No. It schedules the work. It does not make a mailing, a receipt or a matching-gift promise comply with the rules that apply to you. Keep those checks as tasks with an owner, and see /guides/gantt-chart-with-owners.
