What the thesis gantt chart template: proposal to defence process is

A thesis fails to finish for reasons that are mostly scheduling. The writing is left until the data is complete, feedback takes longer than expected, and the last three months are spent on revisions that were not in the plan. A Gantt chart does not do the work, but it shows which tasks you can begin now and what the supervisor's review time does to the end date.

This template has four phases: Proposal, Research, Writing and Submission. The key idea is that chapters are scheduled when their inputs exist, not when the research ends. The introduction can be drafted after the proposal is approved. The methods chapter waits for the methods, the literature chapter for the review, and results for the analysis. Only the discussion has to wait until the end. That puts the writing alongside the research, and it shortens the plan by months compared with writing everything last.

"Full draft complete" is a milestone because it is the point from which others control your time: "Supervisor feedback" depends on it. Allow a realistic duration for that task. The plan has no fixed dates. If your submission deadline is fixed, pin "Submit" to it: if the work before it needs more working days than remain, "Submit" is flagged with the earliest date its dependencies allow.

The plan is for a single empirical thesis. For a three-paper doctoral thesis, use the research project plan at /templates/research-project-gantt-chart for each paper.

What this flowchart covers

In this template

  • Four phases, Proposal, Research, Writing and Submission, with 19 tasks and three milestones: "Proposal approved", "Full draft complete" and "Submit".
  • Chapters scheduled with their inputs: "Chapter 3: Methods" waits for "Methods and instruments", and "Chapter 4: Results" waits for "Analysis".
  • Early writing: "Chapter 1: Introduction" depends only on "Proposal approved".
  • Overlapping analysis: "Analysis" begins twenty days into "Collect or build data".
  • The review loop: "Full draft complete", then "Supervisor feedback", "Revise thesis", "Formatting and references" and "Submit", then "Prepare for defence" and "Defence".

When to use this template

  • You are starting a master's or doctoral thesis and need a realistic schedule.
  • You have a submission deadline and want to see what has to start now.
  • You want to show a supervisor how the work will be sequenced.
  • You are behind and want to see which chapters you can write now.

The plan, task by task

Every task in the chart with its length in working days and what it waits for. A dependency is a step number; SS is start-to-start, FF is finish-to-finish, and +n is a lag in working days.

How it works

  1. Set the submission date last

Plan from the proposal forwards first. Then pin "Submit" to your deadline and see how much slack is left.

  2. Add your real chapters

Rename and add chapter tasks to match your outline. Link each to the work it reports.

  3. Write what you can early

Link the introduction and methods chapters to the proposal and the methods, not to the end of the research.

  4. Give feedback its true duration

Ask your supervisor how long they need and put that in. Add a buffer for a second round.

  5. Keep formatting in the plan

References, formatting and submission requirements take days. Give them a task.

  6. Add the defence

Preparation for the defence and the defence date are part of the plan.

Frequently asked questions

How do I plan a thesis timeline?

List the stages from proposal to defence, give each a length in working days and link each to what it depends on. Schedule chapters when their inputs exist rather than after all the research. This template does that.

How long should supervisor feedback take?

It varies. Ask your supervisor and put their answer in. Many students underestimate it, so a second round of feedback is worth planning.

Is this for a PhD or a master's?

Both. A master's thesis is shorter; reduce the durations. For a PhD with several papers, plan each paper separately.

Can I export it for my supervisor?

Yes. Share the chart or export it as a PDF or an image.
