Conference planning Gantt chart template: venue to follow-up
An editable conference planning Gantt chart: venue contract, call for speakers, programme, sponsors, registration, operations, the event days and follow-up, with dependencies and milestones. Durations are illustrative.
What the conference planning gantt chart template: venue to follow-up process is
A conference differs from a one-day event in the length of its commitments. The venue contract has to be negotiated and signed before anything else can be dated, the call for speakers is open for weeks and cannot be rushed, sponsors take longer to close than the people who ask them expect, and registration is a period that you manage, not a task you finish. A short checklist hides this. A timeline with dependencies shows which of these decide the earliest date the conference can be held.
This template has five groups: Foundations, Programme, Sponsors and registration, Operations and Event and after. In Foundations, "Set concept, budget and date range" (5 working days) is followed by "Shortlist and visit venues" (8) and "Negotiate and sign venue contract" (10), and the "Date and venue confirmed" milestone follows. Nothing else is dated until it is reached. After it, the call for speakers, the keynote invitations, the sponsor outreach and the registration site all start.
"Open call for speakers" is 20 working days. "Programme committee reviews submissions" (10) is finish-to-finish with the call with a lag of 3, so the committee starts reading during the call and finishes three working days after it closes. "Invite keynote speakers" (6) runs alongside. The "Programme agreed" milestone waits for the review and the keynotes. "Registration period" (30) cannot open until the programme is agreed and the registration site is built, and "Promotion and partner emails" (30) starts two working days after it opens. "Sponsor prospectus and outreach" (25) is not on the registration path, but "Conference days" waits for it.
In Operations, "AV, catering and accommodation orders" follow the programme. "Final numbers to venue and caterer" (2) wait for the registration period to end, and "Run-of-show and staff briefing" waits for the speaker travel, the orders and the final numbers. "Conference days" is 3 working days. "Attendee survey and sponsor reports" and "Close accounts and lessons learned" follow. All durations are illustrative and short. Real venue and sponsor lead times are often much longer, so change the tasks to your own. If the conference date is fixed, pin "Conference days" to it and compare the finish date with the date you need. A fixed start that the earlier tasks cannot meet is flagged with the earliest date they allow, and a fixed start later than that leaves a visible gap.
If you exhibit at a trade show rather than host one, keep the venue and registration shape, drop the call for speakers and replace the programme and sponsor tasks with stand design, shipping with a lead time, and staffing. What this flowchart covers
In this template
- Five groups, Foundations, Programme, Sponsors and registration, Operations and Event and after, with 19 tasks and two milestones: "Date and venue confirmed" and "Programme agreed".
- A venue that gates the plan: "Set concept, budget and date range", "Shortlist and visit venues" and "Negotiate and sign venue contract" run in sequence, and "Date and venue confirmed" follows them.
- A call for speakers with a finish-to-finish link: "Programme committee reviews submissions" finishes three working days after "Open call for speakers", and "Invite keynote speakers" runs beside it.
- Sponsors and registration as separate streams: "Sponsor prospectus and outreach" (25 working days), "Build registration site", "Registration period" (30) and "Promotion and partner emails" (30), which starts two working days after registration opens.
- Operations and follow-up: "Final numbers to venue and caterer", "Run-of-show and staff briefing", "Conference days", "Attendee survey and sponsor reports" and "Close accounts and lessons learned".
When to use this template
- You are organising a conference, summit or congress with a venue contract, speakers, sponsors and registration.
- You need to show a committee or a client when the venue must be signed and when the programme can be published.
- You want to test a fixed conference date against the lead times in the plan.
- You run the conference every year and want a standard plan to edit.
The plan, task by task
Every task in the chart with its length in working days and what it waits for. A dependency is a step number; SS is start-to-start, FF is finish-to-finish, and +n is a lag in working days.

How it works
Treat the venue contract as the gate
Keep "Date and venue confirmed" as the milestone that the call for speakers, the sponsors and the registration site all wait for. Lengthen "Negotiate and sign venue contract" to match your real lead time.
Give the call for speakers its real length
Set the duration of "Open call for speakers" and keep the committee review finish-to-finish with it, so the review starts while submissions come in and ends shortly after the call closes.
Join the streams at the programme
"Programme agreed" waits for the review and the keynotes. Registration, travel and orders all depend on it, which is why a late programme moves the whole back half of the plan.
Run registration and promotion together
Start promotion with a start-to-start link and a small lag after registration opens, and keep "Final numbers to venue and caterer" tied to the end of the registration period.
Pin the conference days if the date is fixed
Set a fixed Start on "Conference days". If the earlier tasks need more time, the task is flagged with the earliest date its dependencies allow. Shorten or overlap tasks on the critical path until the flag clears.
Plan the follow-up and share the chart
Keep the survey, the sponsor reports and the close-out in the plan, put owners in People, and share the chart with the committee or export a PDF.
Frequently asked questions
How far ahead should a conference be planned?
It depends on the size of the conference and the venue. The durations in this template add up to about 19 working weeks as an illustration only. Use your own lead times, particularly for the venue contract and sponsors.
Can I use this for a trade show?
Yes, with changes. If you exhibit, remove the call for speakers and the programme tasks and add stand design, shipping with its lead time and staffing. The registration and follow-up tasks can stay.
Can I check the plan against a fixed conference date?
Yes. Pin "Conference days" to the date. The schedule is still calculated forward from the start: if the tasks before it need more time, it is flagged with the earliest date they allow, and if there is spare time you see a gap before it.
Does the chart handle a multi-day conference?
Yes. Give "Conference days" the number of working days it runs. Durations are in working days, Monday to Friday.
