Laboratory equipment: eight templates from qualification to retirement

Laboratory equipment is qualified for an intended use, registered, labelled with its current status, logged at every use, cleaned, maintained, calibrated on a recall date and finally retired without losing its history. This family orders eight templates along that life, and adds the reactive pair that runs when an instrument fails: breakdown and return to service.

Equipment qualification opens the life: define the intended use, plan the evidence, execute and authorise the status. The inventory keeps asset, location, owner and register entry connected; status labelling keeps label, condition and record aligned at the point of use; the use log makes each session traceable. Cleaning and maintenance each end in a readiness decision. Calibration runs on due-date recall: out-of-service control, as-found checks and, if out of tolerance, an impact assessment of the work done since the last acceptable state. Retirement closes the asset with its data intact.

The failures cluster around status: an instrument used past its calibration date, a balance found out of tolerance with no list of the results since the last check, a repaired instrument back on the bench unverified. The use log and status label are the daily controls; calibration's impact assessment limits the damage. A failure in service takes the reactive route: equipment breakdown treats it as a potential data or sample impact until the laboratory has assessed what it affected, and return to service restores a documented status only after repair, readiness checks and verification.

Impact assessments from calibration and breakdown are quality events and go to laboratory investigations.
