Sample labeling process flowchart

An editable sample labeling workflow for using source records, creating traceable labels, checking label-to-sample matches, correcting discrepancies and recording label status.

What the sample labeling process is

This workflow begins when a sample needs a label and ends with a recorded label status. It separates the source-record check, label creation and label-to-sample verification so teams can adapt each stage to their own systems and container types.

A label should not become an assumption. Where the traceability information is missing or the label does not match the sample and its record, the chart routes the work into a hold and correction path owned by the appropriate reviewer.

This template does not establish compliance with any standard or regulation. Confirm the identification fields, label format, verification method and authorization roles that apply at your site before making it effective.

What this flowchart covers

In this template

  • Four stages from source-record review through recorded label status.
  • A labelled readiness decision for the traceability information needed to create a label.
  • A verification decision that tests whether the label matches both sample and record.
  • A hold and correction route for missing information or mismatched labels.
  • Editable swimlanes for sample handling, review and quality oversight.

When to use this template

  • You need a repeatable way to label primary samples, transfers or prepared containers.
  • Your team wants the response to a label discrepancy visible before the sample is stored, tested or transferred.
  • You are documenting a laboratory SOP, training workflow or quality review process.

How it works

  1. Set the label source

Name the approved record or system that supplies the label data. Remove duplicate transcription steps where a scan or controlled system already creates the label.

  2. Choose verification ownership

Specify who compares label, container and source record, and what evidence they record. Keep the role independent where your local procedure requires it.

  3. Define the mismatch route

State when a sample is held, who can correct a label and how the original discrepancy is documented. Do not use a replacement label to erase the reason for correction.

  4. Validate with real containers

Test the draft against the container sizes, printers, scanners and wet or cold handling conditions your team actually uses.

Frequently asked questions

What are the main steps in a sample labeling process?

The process checks that the source information is available, creates a label from that record, compares the label with the sample and record, then applies the label or routes a mismatch for correction. The final status is recorded so a later handler can see the outcome.

What should happen when a sample label does not match the record?

Keep the sample in a controlled state, investigate the mismatch against the source record and correct the label only through the authorized path. The discrepancy and correction should remain traceable rather than being replaced without explanation.

Can this template be used in a regulated laboratory?

It is an editable starting point, not a compliance claim. Adapt the identity fields, label materials, records, review roles and local quality-system requirements before use.
