Franchise opening Gantt chart template with franchisor approval gates
An editable franchise opening Gantt chart for a franchisee's unit: site search, franchisor approval of the site, design and opening, lease, permit, build-out to brand standards, equipment package, hiring and opening crew training.
What the franchise opening gantt chart template with franchisor approval gates process is
A franchise unit is opened inside someone else's system. The franchisee finds the site, signs the lease and runs the build-out, but the franchisor approves the site, the design and the opening, and the equipment package and the opening stock come from the franchisor and its approved suppliers. Each approval holds the next stage back, so a review that takes a week longer moves everything behind it. A timeline puts those holds where they belong and shows which chain sets the grand opening.
This template has five groups: Franchisor approvals, Site and build-out, Owner and team, Equipment and stock, and Opening. "Sign the franchise agreement" (3 working days) is the only starting task, and "Search for sites in the territory" (20) follows it. The first gate is the site: "Franchisor reviews the site" (5) ends in the "Site approved" milestone, and only then do "Sign the lease" (8) and "Owner training at franchisor headquarters" (15) start. The design gets the same treatment. "Adapt the brand design to the site" (8) starts 3 days into the lease, "Franchisor reviews the design" (5) follows it, and "Design approved" gates both "Apply for building and signage permits" (3) and "Order the franchisor equipment package" (2).
With the illustrative numbers, one long chain sets the date: the site search, the site review, the lease, the design and its review, the permit application, "Permit review" (15), "Build out to brand standards" (25), "Hire the opening team" (15), "Train the team with the franchisor's opening crew" (6) and the "Soft opening" (2). The hire starts 10 days into the build-out, so the team is in place as the build-out finishes, and the opening crew trains them straight after. Owner training is the opposite: it is done around working day 43 and not needed until the crew training starts around working day 87, so it could slip by about 44 working days without moving the date. On the equipment side, "Equipment package lead time" (25) ends around working day 71, and "Install equipment, POS and franchisor systems" (6) starts 18 days into the build-out.
The last approval comes at the end. "Order opening stock from approved suppliers" (2) goes out 15 days into the build-out, and "Receive and put away opening stock" (3) waits for the build-out to finish and for a 5-day delivery lag after the order. "Franchisor pre-opening inspection" (2) waits for the stock and the equipment install, and "Opening approved" falls one working day before the soft opening, so a longer inspection or a build-out that overruns would reach the date almost at once. "Run grand opening marketing" (10) starts 15 days into the build-out, and "Grand opening" closes the plan around working day 95. All durations are illustrative. Replace them with your franchisor's timelines, your contractor's schedule and your suppliers' quotes.
A timeline schedules the work. It does not obtain the franchisor's approval, a permit or a pass at an inspection, and it does not read your franchise agreement: the agreement's own terms decide which approvals you need and what each one covers. For who does what between franchisor and franchisee, see /org-templates/franchise-organizational-chart. What this flowchart covers
In this template
- Five groups, Franchisor approvals, Site and build-out, Owner and team, Equipment and stock and Opening, with 24 tasks including four milestones: "Site approved", "Design approved", "Opening approved" and "Grand opening".
- Three franchisor approvals, each a review and a gate: "Franchisor reviews the site" before "Site approved", "Franchisor reviews the design" before "Design approved", and "Franchisor pre-opening inspection" before "Opening approved".
- One chain that sets the date, from "Search for sites in the territory" (20 working days) through "Permit review" (15) and "Build out to brand standards" (25) to "Train the team with the franchisor's opening crew", with "Hire the opening team" starting 10 days into the build-out.
- An equipment and stock stream: "Order the franchisor equipment package" after "Design approved", a 25-day "Equipment package lead time", "Install equipment, POS and franchisor systems" 18 days into the build-out, and "Receive and put away opening stock" once the build-out is finished.
- "Owner training at franchisor headquarters" (15) right after "Site approved", finished long before the opening crew arrives, and "Run grand opening marketing" starting 15 days into the build-out.
When to use this template
- You have signed, or are about to sign, a franchise agreement and need one plan for the franchisor, the landlord, the contractor and your opening team.
- You want to see what a slow site or design review does to your grand opening.
- You have a target opening date and want to compare the finish date with the date you need.
- You develop franchise units and want a skeleton to hand to each new franchisee.
The plan, task by task

How it works
Match the approvals to your agreement
Keep a review task and a milestone for each approval your franchise agreement asks for, and add or remove gates to match it. Set the review durations from what the franchisor tells you.
Replace the site search
"Search for sites in the territory" (20) is the first long task on the chain that sets the date. Set it from your territory and the franchisor's site criteria. A longer search moves the whole plan behind it.
Start the design with the lease
"Adapt the brand design to the site" is linked start-to-start with a lag of 3 days to "Sign the lease". Change the lag to match when you have the site survey and the landlord's drawings.
Set the permit and equipment lead times
Set "Permit review" from the building authority's guidance and "Equipment package lead time" from the franchisor's or the supplier's quote. Switch on View > Critical path to see whether either one now sets the date.
Book the opening crew
Agree the dates of "Train the team with the franchisor's opening crew" with the franchisor. "Hire the opening team" starts 10 days into the build-out; lower the lag if you need longer to find people.
Add owners, share and export
Put the responsible person in People. Durations count Monday to Friday and there is no holiday calendar, so add public holidays as extra days. Share the chart with the franchisor's development team and export a PDF or CSV for your own records.
Frequently asked questions
How long does it take to open a franchise unit?
It depends on the site search, the franchisor's reviews, the permit and the build-out. With the template's illustrative durations the plan runs about 95 working days from the signed agreement to "Grand opening". Replace them with your own numbers and read the finish date from the chart.
Why is each franchisor approval a task and a milestone?
The review takes time, so it is a task with a duration. The approval is the moment the next stage may start, so it is a milestone that the next tasks depend on. A slow review then pushes back exactly the work that waits for it. For more on gates, see /guides/gantt-chart-milestones.
Does the chart check my plan against the franchise agreement?
No. It schedules the work and what each task waits for. It does not read the agreement, track fees or obtain an approval, and the agreement's own terms decide which approvals you need. Add or remove the review tasks and gates to match it.
Can I plan to a fixed grand opening date?
Yes. Give "Sign the franchise agreement" a fixed Start on the day work begins and "Grand opening" a fixed Start on your date; the plan starts on the earliest fixed Start, so the first task needs one too. If that date is later than the dependencies allow, the chart leaves a gap before it. If it is earlier, the chart flags a conflict and names the earliest date the dependencies allow. Shorten what you control, overlap tasks or agree faster reviews with the franchisor until the conflict clears.
Can I use it for my second unit or a multi-unit development?
Yes. Create the template again for each unit and adjust it. If one team opens several units in waves, see /templates/multi-store-opening-gantt-chart, and for hiring and training an opening team, see /guides/opening-team-hiring-gantt-chart.
