What the student admissions process is

Admissions work is a relay between five parties: the applicant, the admissions office, the academic department, the committee and the registrar. Each handoff is where applications stall, usually because nobody owns the next move or an applicant was never told what was missing.

This template draws that relay in five swimlanes: Applicant, Admissions Office, Academic Department, Admissions Committee and Registrar. It shows the "Application complete?" gate, the "Meets entry requirements?" decision and a three-way "Committee outcome?" of Offer, Waitlist or Decline, with a waitlist loop that re-checks "Place free before the cut-off?" each time an offer lapses.

Once the place is confirmed, the record passes to enrolment: see the [student enrollment process](/templates/student-enrollment-process). If a student later leaves, the [student withdrawal process](/templates/student-withdrawal-process) picks up. The steps are illustrative; adapt wording and deadlines to your own institution's published rules.

What this flowchart covers

In this template

  • Four phases (Apply, Review, Decide, Respond) across the lanes Applicant, Admissions Office, Academic Department, Admissions Committee and Registrar.
  • Two early gates, "Application complete?" with a "Request missing items with a deadline" loop and "Meets entry requirements?" with a recorded reason when the answer is No.
  • A "Committee outcome?" decision with Offer, Waitlist and Decline branches, a "Hold on waitlist until places free up" delay and a "Place free before the cut-off?" loop, ending in "Place confirmed" or a decline letter.

When to use this template

  • You run admissions for a school, college or programme and want one picture of who does what between application and confirmed place.
  • Applicants complain that nobody told them what was missing, or waitlist decisions feel inconsistent.
  • You are preparing a process review, a handover to new admissions staff or a service-level discussion with academic departments.

How it works

  1. Fix the completeness rule

List exactly which documents make an application complete and put that list in the first request to the applicant. The "Request missing items with a deadline" loop only works if the deadline and the list are explicit.

  2. Separate entry requirements from ranking

Let the department answer "Meets entry requirements?" against published criteria, then pass only qualified applicants to "Rank and shortlist for the committee". Keep the decline reason on the record.

  3. Define the waitlist rules

Decide how the waitlist is ordered and when the cut-off falls, so "Place free before the cut-off?" has one answer. Pair this with the [document approval workflow](/templates/document-approval-workflow) if offers need sign-off before they go out.

  4. Set the acceptance deadline

Put the deadline in "Issue offer with acceptance deadline" and release the place with "Release the place and re-check the waitlist" when it passes. Hand accepted students to the [student enrollment process](/templates/student-enrollment-process).

Frequently asked questions

What is the difference between a waitlist and a decline?

A waitlisted applicant is qualified but there is no place yet, so the application waits for a place to free up. A decline is final for this intake. In this chart, "Hold on waitlist until places free up" loops through "Place free before the cut-off?" and only becomes a decline when the cut-off passes.

Who should make the final admissions decision?

That depends on the institution. The chart shows an Admissions Committee deciding on the department's shortlist, with the Admissions Office issuing the letter. Rename the lanes if your decisions are made by a single dean or an automated rule.

What happens if an applicant does not respond to an offer?

After the stated deadline the place is released and the next waitlisted applicant is considered. The chart shows this as "Offer accepted by the deadline?" answering Declined or no reply, then "Release the place and re-check the waitlist".
