Student enrollment process flowchart
Student enrollment process flowchart for document checks, fee clearance, course registration, orientation, support referrals and census-date confirmation.
What the student enrollment process is
Between accepting an offer and sitting the first class, a student passes through four teams: the registrar, finance, student services and the academic department. If any of them works from a different checklist, students fall through the gaps, usually at fees or course registration.
This template maps that journey across five lanes: Accepted student, Registrar, Finance / fees, Student services and Academic department. It includes the "Documents verified?" loop for certified copies, a "Fees paid or payment plan agreed?" decision with a hold and a cancellation branch, and "Prerequisites and capacity met?" for course registration.
It follows on from the [student admissions process](/templates/student-admissions-process). A student who leaves after enrolling moves to the [student withdrawal process](/templates/student-withdrawal-process). Deadlines and policies shown are examples to replace with your own.
What this flowchart covers
In this template
- Phases Verify, Clear, Register and Confirm, with lanes Accepted student, Registrar, Finance / fees, Student services and Academic department.
- Three decision points: "Documents verified?", "Fees paid or payment plan agreed?" (with a "Hold enrolment and send a reminder" delay) and "Prerequisites and capacity met?" with an "Advise on alternatives or the waitlist" loop.
- Orientation, a "Support needs disclosed?" branch to the support team, and a final "Enrolled and attending at the census date?" check ending in "Enrolment confirmed" or removal from the roll.
When to use this template
- Your registrar, finance and student services teams each hold part of enrolment and you want one shared picture.
- Students report being cancelled or double-charged, or classes start before access and timetables are ready.
- You are documenting enrolment for an audit, a system migration or a new-staff handbook.
How it works
Agree the document checklist
Write down which identity and qualification documents the registrar accepts, and what counts as certified. Use it in "Check identity and qualification documents" and "Request certified copies".
Make fee clearance explicit
Decide who may agree a payment plan and the exact deadline for "Fees paid or payment plan agreed?". Cancel only after a written reminder, as in the Reject branch.
Check registration rules
Publish prerequisites and seat limits so "Prerequisites and capacity met?" is predictable. Route students to alternatives rather than leaving them stuck.
Confirm at the census date
Use the census date to decide who is enrolled for funding and reporting. Link complaints about a cancelled place to the [customer complaint process](/templates/customer-complaint-process) so they are tracked.
Frequently asked questions
What is the census date in enrolment?
It is the date on which a student's enrolment is counted for funding and reporting. It often also marks the last point to withdraw without full fees, though the rules vary by institution and country. The chart uses it as the final check.
What if a student cannot pay fees on time?
The chart shows a "Hold enrolment and send a reminder" delay that loops back to the fees check, so a payment plan can be agreed. Only after the deadline passes does it reach "Cancel enrolment and release the place".
Where do students with support needs fit in?
After orientation, "Support needs disclosed?" sends a student to "Refer to the support team for adjustments" before teaching starts. Students who do not disclose can still ask later; the chart shows the main path.
