Student withdrawal process flowchart
Student withdrawal process flowchart showing the retention conversation, refund deadline decision, financial aid return, clearances and final record update.
What the student withdrawal process is
A student who wants to leave touches an advisor, the registrar, finance and, often, housing or the library. Handled badly, the student gets a surprise bill or a hold on their transcript. Handled well, some students stay and the rest leave with a clear record and a route back.
This template draws five lanes: Student, Academic advisor, Registrar, Finance & financial aid and Housing / library. It includes a retention loop ("Can a retention option help?" and "Student accepts the option?"), the "Before the refund deadline?" decision, a "Financial aid or loan affected?" branch and an "All clearances complete?" loop back to the clearance steps.
Students arrive through the [student admissions process](/templates/student-admissions-process) and the [student enrollment process](/templates/student-enrollment-process). Refund rules, deadlines and aid returns vary by institution and country, so treat the chart as a starting point rather than policy advice.
What this flowchart covers
In this template
- Phases Conversation, Request, Clearances and Close across the lanes Student, Academic advisor, Registrar, Finance & financial aid and Housing / library.
- A retention loop: "Offer leave, part-time load or a support plan", then "Student accepts the option?" with Accepts, Wants to talk it through and Declines.
- "Before the refund deadline?", "Financial aid or loan affected?" and "All clearances complete?" decisions, ending at "Withdrawal complete, re-entry route explained".
When to use this template
- You want advisors, the registrar and finance to follow the same steps when a student leaves.
- Students complain about unexpected charges, holds or unclear refund rules after withdrawing.
- You are reviewing retention practice or preparing for an audit of refunds and aid returns.
How it works
Start with the conversation
Record why the student wants to leave in "Hold a reasons conversation" and what options were offered. This gives you retention data without pressuring anyone to stay.
Use the effective date for refunds
State the date the withdrawal takes effect on the signed form so "Before the refund deadline?" has one answer. Keep the date the student first asked as well.
Handle aid and clearances together
Trigger "Return funds and notify the lender or sponsor" whenever aid is involved and track the library and housing steps until "All clearances complete?" is Yes. Keep disputes in the [customer complaint process](/templates/customer-complaint-process).
Close with a clear record
Issue the withdrawal letter, update the record status and explain how the student can return, as in "Update the record status and issue a withdrawal letter".
Frequently asked questions
Why include a retention step in a withdrawal process?
Many students leave for reasons the institution can address, such as workload, money or course fit. The chart places the conversation first and lets the student choose, with the option to talk it through again before declining.
What decides whether a student gets a refund?
Usually the withdrawal's effective date compared with a published refund deadline. The chart's "Before the refund deadline?" decision leads either to "Calculate the refund and adjust fees" or to a record of late-withdrawal status. Your own policy sets the percentages.
What are clearances in a withdrawal?
They are the obligations to settle before the record is closed, such as returning library items, handing back housing keys and cancelling services. The chart loops "Tell the student what is outstanding" back to the clearance steps until everything is complete.
