UiPath Task Capture vs Manual Process Mapping
Task Capture records desktop evidence and supports diagram building. Manual mapping documents business logic across people and systems.

The short version
- Choose the output before choosing the platform.
- A recorded task still needs review of roles, exceptions and business rules.
- QueryChart documents workflows; it does not run robots or record desktop tasks.

Choose by the required deliverable. Task Capture is one UiPath product; automation and mining require other ecosystem products. Product information checked 2026-09-30.
| Aspect | QueryChart | UiPath Task Capture / ecosystem |
|---|---|---|
| Manual mapping and editable diagrams | Build and edit process steps, connectors and swimlanes. | Task Capture offers Diagram Builder as well as recording. |
| SOP and process documentation | Maintain a visual workflow with step details and SOP view. | Task Capture generates process documentation and Word exports. |
| Review and version history | Chart versions and approval workflows; check plan availability for your team. | Verify collaboration and governance in the specific UiPath product and license; do not infer platform-wide capabilities from Task Capture. |
| Record actions and screenshots | No task recorder or automatic screenshot capture. | Task Capture supports recording and captured screenshots. |
| Mining, RPA and orchestration | No event-log process mining, task mining, robot deployment or automation orchestration. | Available through the broader UiPath ecosystem, rather than Task Capture alone. |
| Best fit | Teams maintaining shared process maps and visual SOPs. | Captured desktop task evidence or a broader automation program. |
Explore an editable process documentation example
Inspect the roles and decision paths, then open the example to adapt it to your own process. This is a process map, not a task recording.
Define the work
The example starts with “Upstream work completed”. Add “Prepare required handoff inputs” as a concrete action rather than a screen interaction.
Connect outcomes and exceptions
At “Receiver accepts inputs?”, inspect the outcome destinations and preserve the rejection or missing-evidence route alongside the normal path.
Check decisions and handoffs
Inspect every route in the complete map, then confirm that “Record accepted handoff and completion” is the intended finished outcome and the responsible owner is clear.
Match the tool to the process deliverable
A recording is useful when the sequence of screen interactions is the missing evidence. Manual mapping is useful when the missing information is a business rule, owner, exception or handoff.
Task Capture supports both recording and manual diagrams. The distinction is a workflow choice, not a claim that UiPath cannot draw a process map.
Combine the methods where needed: use captured evidence to clarify a task, then validate the wider map with stakeholders. Choose a flowchart tool for maintaining that map when a recording pipeline is unnecessary.
How it works
Define the process boundary
Name the trigger, finished outcome and owner. Separate business steps from individual clicks so the map stays useful after a screen changes.
Map steps, decisions and roles
Write one action per row, label each decision outcome and assign an owner lane. Include rejection, rework and escalation paths.
Review against real work
Ask a person who performs the task to walk the normal path and one exception. Add instructions and evidence references where the chart alone is insufficient.
Approve and maintain the artifact
Use chart versions and your configured review/approval workflow. Share the agreed version and assign a next review date. Verify plan availability before relying on a team feature.

Frequently asked questions
Does QueryChart record user actions like Task Capture?
No. Create or import process information and review the editable workflow. QueryChart does not capture clicks or screenshots as you work.
Can QueryChart replace UiPath automation?
No. Keep an automation platform when you need RPA, automation deployment, orchestration, process mining or task mining.
How should a team check the map before using it as an SOP?
Walk through a real case and an exception with the process owner. Verify the roles, branch destinations and supporting instructions, then retain and share the reviewed chart version.
