Quote to cash process templates (6 linked flowcharts)
Six linked flowcharts for the revenue cycle: lead qualification, sales pipeline, credit approval, customer onboarding, contract renewal and cancellation — with the churn-to-win-back loop closed.
Quote to cash is a loop rather than a funnel: a cancelled customer re-enters at lead qualification, and the win-back queue is the same list the pipeline started from.
What's in the package
1. Sales lead qualification process flowchart: MQL to SAL
Marketing qualified to sales qualified: the scoring, the routing, and the reject path.
2. Sales pipeline process flowchart: opportunity to closed won
Opportunity to closed won: discovery, proposal, negotiation, and the stage gates between.
3. Customer credit approval process flowchart (limit and terms)
The gate on terms — credit check, limit setting, and the exceptions committee.
4. Customer onboarding process flowchart
Closed won to live: kickoff, provisioning, data migration and the handover to support.
5. Contract renewal process flowchart (notice window to signed renewal)
The recurring decision: usage review, renewal quote, negotiation, and the notice window.
6. Customer cancellation process flowchart (request to account closed)
Churn done properly — the save attempt, the offboarding, and the win-back queue.
How they connect
- Sales lead qualification process flowchart: MQL to SAL → Sales pipeline process flowchart: opportunity to closed won
- "Opportunity accepted by sales" is the handoff marketing is measured on and sales is measured from. Making it a link rather than a stage boundary is what stops the two teams from counting it differently.
- Sales pipeline process flowchart: opportunity to closed won → Customer credit approval process flowchart (limit and terms)
- "Build proposal and pricing" is where non-standard terms first appear. Credit approval runs in parallel with the proposal rather than after it, or the quote goes out before anyone has checked the customer can pay it.
- Sales pipeline process flowchart: opportunity to closed won → Customer onboarding process flowchart
- "Closed won, handover to onboarding" is the most commonly dropped handoff in the whole cycle. The link is what makes the account executive's last step visible to the team that owns the next ninety days.
- Customer onboarding process flowchart → Customer credit approval process flowchart (limit and terms)
- "Credit or KYC check required?" reaches the same credit process from a second entry point. One documented check, two callers — which is what a package expresses and a single chart would have to duplicate.
- Customer onboarding process flowchart → Contract renewal process flowchart (notice window to signed renewal)
- "Handover to support and account team" is where onboarding ends and the renewal clock starts. Renewals lost at month eleven are usually lost here, in the handover nobody owned.
- Contract renewal process flowchart (notice window to signed renewal) → Customer cancellation process flowchart (request to account closed)
- "Serve termination notice in writing" is the branch a renewal takes when it fails. Linking rather than inlining keeps the cancellation process — including the save attempt — owned by whoever actually runs it.
- Customer cancellation process flowchart (request to account closed) → Sales lead qualification process flowchart: MQL to SAL
- "Closed and queued for win-back" closes the loop. A churned customer is a qualified lead with a documented reason for leaving, and this link is the difference between a funnel and a cycle.
How it works
Align the qualification criteria with your CRM stages
The lead-qualification chart's scoring branches should name the same stages your CRM enforces. If the chart and the system disagree, people follow the system and the chart becomes decoration.
Put the credit gate in parallel, not in series
Both links into credit approval exist so the check runs alongside the proposal and the onboarding kickoff. If your current process serialises it, this is the change worth making before you circulate the charts.
Give the closed-won handover a named owner and an SLA
It is the single most expensive gap in this cycle. Put the receiving role and the time limit on the handoff box in the pipeline chart, not in a separate playbook.
Write your real notice window into the renewal chart
The renewal chart branches on the contractual notice period. Using the placeholder rather than your own turns the whole renewal timeline into fiction.
Route the win-back queue somewhere real
The backwards link only pays off if the queue has an owner and a cadence. Name them in the cancellation chart's final box, or the loop is drawn but not run.
Frequently asked questions
Is quote to cash the same as order to cash?
Order to cash starts at the order and ends at the cash application. Quote to cash starts earlier — at the lead and the quote — so it includes qualification, pipeline and credit approval. This package covers the wider span, which is why lead qualification is the entry chart.
Do I need a paid plan for this?
Yes — template packages are included with Plus. A package creates six charts at once, and the free plan holds three. All six templates remain free to use individually.
Why does credit approval have two incoming links?
Because two processes need it at different moments: sales during proposal building, onboarding before go-live. One documented process with two entry points is more accurate and far easier to maintain than the same check described twice.
Does this fit a subscription business or a one-off sale?
It is drawn for recurring revenue, which is why renewal and cancellation are members. For one-off sales the renewal chart becomes a repeat-purchase path — keep it and rename it, or drop it and the two links that touch it.
