Reagent inventory process flowchart

A reagent inventory workflow for comparing stock records with physical material, investigating discrepancies, assessing availability, issuing or replenishing stock and recording follow-up.

What the reagent inventory process is

A reagent balance becomes unreliable long before the count is visibly wrong. A container can be in the wrong location, have a changed status or have been used without the record being updated. This template makes the comparison explicit, then gives a discrepancy a hold, evidence review and escalation route rather than allowing a silent correction.

The chart also distinguishes reconciliation from availability. A corrected record may still show that the intended work cannot be supported, which is why the process branches into issue or reservation on one side and replenishment or an alternative request on the other. Set the count scope, stock fields and authorization rules to your own inventory system.

What this flowchart covers

In this template

  • A physical-to-record comparison that checks more than the quantity shown in an inventory system.
  • A hold, investigation and evidence-based correction route for a stock discrepancy.
  • An explicit escalation route for a shortage or discrepancy that cannot be resolved during the review.
  • A separate availability decision for issuing material or starting replenishment and alternative planning.

When to use this template

  • You perform routine counts, respond to a stock request or investigate a material that cannot be found where the record says it is.
  • Different teams own physical custody, laboratory use and inventory updates, creating unclear responsibility when balances disagree.
  • You want a count process that preserves an unresolved discrepancy instead of forcing every review into a stock adjustment.

How it works

  1. Choose comparison fields

Identify the identity, location, status, balance and intended-use fields a reviewer must compare, keeping only fields that support a real availability decision.

  2. Assign discrepancy ownership

Specify who can place stock on hold, investigate a mismatch and authorize a correction, plus how an unresolved shortage remains visible.

  3. Connect stock to demand

Define how material is reserved or issued and how a replenishment or alternative request starts when stock cannot support the intended work.

Frequently asked questions

What does a reagent inventory process flowchart cover?

It maps a stock request or inventory review through physical-to-record comparison, discrepancy investigation, availability decision, issue or replenishment action and record update.

What should happen when a reagent count does not match the record?

Place the affected stock under the local status, investigate the difference using available evidence and correct the record only through assigned authority. Escalate it if it remains unresolved.

Why include an availability decision after reconciliation?

An accurate stock record may still show material is reserved, restricted or insufficient for the intended work. The separate decision makes the replenishment or alternative route visible.
