Which Data Visualizer replacement fits: the surviving Plan 2 templates in Visio desktop, a free browser tool, or a governed workspace. What Microsoft actually retired, what it did not, and how to choose.
A worked example, stage by stage
Steps and shapes
Four rows in and the process already forks. "Receive the tender invitation" starts it, "Bid or no bid?" is a diamond, and "No-bid recorded with its reason" is a real ending rather than an arrow into space. The shape is a column value, so making a step a decision is an edit to a cell, not a redraw.
Connections, including the loop
Row 7, "Does the buyer grant an extension?", points back at row 5 and the first loop appears. In a table a backwards edge is just a smaller number in the connection column; on a hand-drawn canvas it is the connector somebody routes around three boxes and breaks on the next edit.
Branch labels
The branch labels fill in, and row 11, "Are the customer's contract terms acceptable?", carries three of them: Acceptable, Needs clarification, Unacceptable risk. This is the row Legal owns, and the point at which a flowchart stops being a flowchart and becomes a process map.
Owners and phases
The two lane columns land and the handoffs surface: Sales, Bid manager, Technical reviewer, Legal and Executive sponsor, across Qualify, Plan, Draft, Review and Submit. "Uploaded and receipted before the deadline?" loops back to reassembly when an upload fails. Seventeen rows, no boxes moved.
How it works
Find out which Visio tier you are actually on
This eliminates most of the shortlist before you evaluate anything. Visio in Microsoft 365 is the bundled lightweight web app included with commercial Microsoft 365 plans; Plan 1 is US$5 per user per month list and Plan 2 is US$15, both paid yearly, at the time of writing. Only Plan 2 includes the desktop app, and Microsoft documents the Data Visualizer templates and the Create Diagram from Data wizard as Plan 2 only. If you were using the free Excel add-in, you were not on Plan 2, and moving to the surviving templates is a purchase rather than a setting.
Decide whether the diagram has to be reviewed or only drawn
Write down what happens to the finished map. If it is illustration — a slide, a wall, an onboarding pack — any competent drawing tool will do and the cheapest one wins. If somebody has to sign it off, if an auditor will ask which version was current in March, or if a step changing means a re-approval, you are shopping for a workflow rather than a canvas. Nothing in Visio reviews or approves a process map, so a tool chosen purely on drawing quality will leave that job in email.
Check the operating systems, because this feature has no macOS answer
This is the constraint that eliminates Microsoft's own replacement outright for some teams, so check it before the licence question rather than after. Microsoft ships no Visio desktop app for macOS and says it has no plans to include one in Microsoft 365; the published desktop system requirements are Windows only. The Data Visualizer templates and the Create Diagram from Data wizard exist only in the desktop app, and a data-connected diagram cannot be edited in Visio for the web either. Check the source table for formulas
Open the workbook that drives the diagram and look for calculated cells. Microsoft is explicit that you should not use formulas in an Excel data source for Data Visualizer: after you select Overwrite in the Update Source Data dialog, Visio converts the formula to the formula result. Export the existing diagrams while you still can
The add-in rendered through an online service, which is why diagrams sitting inside workbooks are what breaks. Microsoft's documented rescue paths run before shutdown: with a work or school account, select the ellipses in the diagram area, choose "Open in web" and sign in, which creates a Visio file that stays accessible from OneDrive or Visio for the web. Consumers get the add-in window's top-right drop-down arrow, "Show as Saved Image", then right-click and Copy — Microsoft offers them no .vsdx route at all. The data in the Excel tables remains intact either way.
Reproduce one diagram the add-in built, and check what survived
Not a sample — a workbook you actually used, so the test is a migration rather than a demo. Rebuild the diagram it produced in each candidate and then compare against the original for the three things that quietly go missing: every branch label on a multi-exit decision, the lanes and phases (the basic Data Visualizer template reads a table's function and phase columns not at all), and any loop that points backwards. Do not lean on Microsoft's starter workbooks for the exercise — the aka.ms links its live add-in docs still give for the Basic Flowchart and Cross-Functional Flowchart process maps now redirect to Bing, which is what an unmapped short link returns.
Frequently asked questions
Is Visio Data Visualizer discontinued?
The Excel add-in was announced for retirement on the Microsoft 365 Blog in November 2025, with a service shutdown date of 2 March 2026 that Microsoft reaffirmed in December 2025 as unchanged. Microsoft has published nothing since either confirming the shutdown executed or reversing it, and both add-in support articles are still live and still worded in the future tense. The Data Visualizer templates inside the Visio desktop app are a separate feature and were not retired. Removal of the add-in from the Excel store and ribbon was extended to at least January 2026, and the promised follow-up naming an exact date was never published.
What is the closest replacement inside Microsoft's own tools?
Visio Plan 2 with the desktop app, which is also Microsoft's stated recommendation. Open Visio, select TEMPLATES, then Flowchart, and choose "Basic Flowchart - Data Visualizer", "Cross-Functional Flowchart - Data Visualizer" or "Audit Diagram - Data Visualizer"; the template preview offers an Excel data template to start from, and Create launches the Create Diagram from Data wizard. Make the source an Excel table rather than a custom range if you want the diagram and data to stay synchronised. Refresh Diagram and Update Source Data on the Data Tools Design tab then give you sync in both directions, which the add-in never did.
Is there a free Data Visualizer alternative?
Yes, but not from Microsoft. The free part of the old workflow was the add-in itself: you did not need a Visio subscription to create a diagram in Excel, only to edit it afterwards. Nothing in the surviving Microsoft path is free — the templates and the wizard are documented as Plan 2 only. If free and no-signup is the requirement, ProcessMapping.app's Data Visualizer replacement takes a pasted table and returns a swimlane diagram in the browser, and it is linked from this page for that reason. QueryChart has a free tier, but it is a workspace with accounts, which is a different thing to want.
Can I use Data Visualizer on a Mac?
No, and this is the constraint that surprises people. Microsoft states it has no desktop version of Visio for macOS and no plans to include a Visio desktop app in Microsoft 365; published desktop system requirements are Windows only. The Data Visualizer templates and the Create Diagram from Data wizard exist only in the desktop app. Visio for the web is available on a Mac in Safari or Chrome, but it refuses to edit data-connected diagrams — those linked to Excel, Access, SharePoint lists or SQL Server. A Mac team can view and comment on these diagrams and cannot generate or refresh them.
