Press release approval process flowchart (news to correction path)

What the press release approval process flowchart (news to correction path) process is
A press release is a public statement with a named author and, usually, named speakers. That raises the cost of a mistake: a wrong figure, an invented superlative or a quote the executive never said can be repeated by journalists within minutes and is hard to withdraw. The chart follows a release from the trigger, 'News trigger arises', through the test 'Is it newsworthy to the audience?', the draft, verification, approvals, distribution and the weeks of follow-up, with five swimlanes: PR lead, Spokesperson / executives, Legal, Fact owner (product or finance) and Distribution.
Two features set it apart from a general content workflow such as /templates/content-approval-process. First, approval is per quote: the decision 'Has each quoted person approved their exact words?' loops back to the draft whenever anyone edits, so no one is quoted on wording they have not seen. Second, the schedule can be fixed from outside: once journalists have been briefed, the step 'Set the embargo date and time and brief journalists' is a commitment, and the Delay step 'Hold until the embargo lifts' makes the wait visible. After release the process does not end; 'Is an error or unsupported claim reported?' routes a mistake to a correction or retraction that legal approves.
Legal and disclosure get their own gates. 'Does it contain material information for investors?' sends listed or regulated companies to a disclosure check with counsel before the release goes out, and 'Final sign-off from legal and the spokesperson?' is the last gate before distribution. The chart is a starting point, not legal advice. Embargo norms are conventions between a company and journalists, not law, and disclosure rules vary, so check your jurisdiction with counsel. What this flowchart covers
In this template
- Five swimlanes (PR lead, Spokesperson / executives, Legal, Fact owner (product or finance) and Distribution) across five phases: Trigger, Draft, Verify and approve, Embargo and release, After release
- A news test, "Is it newsworthy to the audience?", that sends weak announcements to another channel instead of wasting a release
- A claims check, "Is every claim backed by evidence?", and a quote check, "Has each quoted person approved their exact words?", each looping back to the draft
- Legal and disclosure gates: "Does it contain material information for investors?" and "Final sign-off from legal and the spokesperson?"
- A distribution step and "Is an embargo needed?", with a dated embargo and a Delay step, "Hold until the embargo lifts"
- A correction path after release: "Is an error or unsupported claim reported?" leads to "Issue a correction or retraction, approved by legal"
When to use this template
- A founder or executive is quoted in releases and has been surprised by wording they never saw
- Releases go out with figures or 'first' and 'leading' claims that nobody can source
- You brief journalists under embargo and need the date to stay put once promised
- You are a listed or regulated company and need disclosure timing to be checked before release
- A mistake was published and you had no agreed way to correct it
How it works
Rename the lanes to your team
Replace PR lead, Spokesperson / executives, Legal, Fact owner (product or finance) and Distribution with your roles. If an agency writes the release, keep it in the PR lead lane and name the in-house approver separately.
Write your newsworthiness test
Put in a few plain questions, such as whether it is new, relevant to this audience and supported by a fact. The first decision is useful only when the criteria are written down.
Set up the claims register
Decide how each claim and number is recorded against its source and who owns it. The fact owner should be the person who can actually prove the claim, such as the product lead or finance.
Define quote approval
State that every quoted person approves the final wording in writing and what happens when they edit. Decide how long they have to reply before the release slips.
Name the legal and disclosure triggers
List when counsel must review, such as forward-looking statements, regulated products or investor-relevant news. Mark any timing rules as items for your counsel to confirm.
Decide embargo and list rules
Write who may offer an embargo, the format for stating the date, time and time zone, and how the distribution list is checked for permission to contact. Any hours or days you add are placeholders to adapt.
Add the correction rule
Define who can call a correction, who approves the wording and where it is published. Test the path on a past release before you need it.
Frequently asked questions
What are the steps in a press release approval process?
Decide whether the news is worth a release, draft it, verify every fact and claim against its source, and get each quoted person to approve their exact words. Legal reviews claims and names, and counsel checks disclosure if the information may be material to investors. After a final sign-off, choose the distribution list, decide on an embargo, release, handle media follow-up and run the correction path if an error is reported.
Why approve each quote separately?
A quote is attributed to a named person, so they should confirm the wording they are quoted on. Approving the whole release at the end tends to miss edits made after someone has already agreed. The chart loops back to the draft when anyone asks for changes so that everyone sees the final text.
Is an embargo legally binding?
Generally it is an agreement between you and the journalist, based on trust, rather than a legal guarantee, and practice varies. Treat the date as a commitment and state it clearly in writing. Check your jurisdiction and any contract terms with counsel.
What if we need to correct a release after sending it?
Use the correction path: confirm the error with the fact owner, have legal approve a wording that says what was wrong and what is right, send it to the same list and update the web post. For a larger public problem, see /templates/social-media-crisis-response-process.
