Disputes and chargebacks: four templates from first inquiry to representment
The dispute lifecycle as four linked flowcharts: payment dispute intake, the chargeback across issuer, network, acquirer and merchant, chargeback case management and representment, with the three refund routes that head disputes off.
A dispute begins as a cardholder's question about a transaction and, if it is not resolved early, becomes a chargeback that moves money back through the network and lands on the merchant's desk with a deadline. This family orders four templates along that path, from issuer-side intake to the merchant's contested response, and adds the refund templates, since a refund issued in time is the cheapest way a dispute ends.
The payment dispute flowchart is the issuer's side: a cardholder's transaction question, an inquiry, an early resolution or refund attempt, then formal eligibility review if it is still open. When it becomes formal, the chargeback flowchart tracks the case across issuer, network or processor, acquirer and merchant to an outcome and the posting on both sides, which is where the money actually moves.
The merchant or acquirer receives it into chargeback management, the operating spine for a whole portfolio of cases: intake, deadline ownership, classification, merchant outreach, evidence QA, reconciliation and trend feedback. A case worth contesting goes through representment: the rule-dependent decision to contest, a focused evidence package, quality review, submission and outcome classification before any permitted follow-on action.
Chargebacks are lost on process more than merit: a deadline missed because nobody owned the case, evidence that does not answer the allegation, a refund sent after the chargeback was filed so the merchant pays twice, a won case whose reversal was never posted. Chargeback management answers the first (an owner and a deadline at intake) and representment the second, with its allegation-to-evidence map. Refund approval and customer refund answer the third by screening for an existing chargeback before money moves, and the refund flowchart's idempotent submission blocks a second refund. The chargeback flowchart's both-side posting check closes the fourth.
The transaction being disputed came through the card payment lifecycle, and every chargeback outcome posts back into its reconciliation. A merchant whose dispute ratio climbs is one of the signals merchant monitoring reads. On the customer-facing side the request often reaches a support desk first, and the returns process is the physical counterpart when goods rather than a service were sold.
