What the NetSuite order-to-cash process flow process is

In NetSuite, an estimate becomes a sales order, the sales order is fulfilled and billed, and the invoice is paid and deposited. Each step is a transaction created from the one before it, which keeps the data clean but makes the process easy to skip through: a sales rep can enter an order over the customer's credit limit, and the only question is whether anyone has to approve it.

A process flow shows those approval points and who owns them. It also shows the collections loop, which in most growing companies is informal: someone sends a statement when they remember. Drawing it as a loop with an owner is the first step to shortening days sales outstanding.

Use the template when implementing NetSuite, when sales and finance disagree about who approves discounts, or when training new staff. Rename lanes, add your approval thresholds, and add paths for drop shipments or deposits if you use them.

What this flowchart covers

In this template

  • Estimate (quote) creation and conversion to a sales order
  • Approval for orders over the credit limit or above the discount threshold
  • Item fulfillment: pick, pack and ship
  • Invoicing the sales order and collections follow-up on overdue invoices
  • Applying the customer payment and making the bank deposit

When to use this template

  • You are implementing NetSuite and designing the sales order approval process
  • Sales and finance need to agree on who approves discounts and credit exceptions
  • Collections is informal and you want a defined process with an owner
  • New sales reps and AR staff need to learn how the cycle works in NetSuite

How it works

  1. Rename the lanes

Map lanes to your sales reps, approvers, warehouse or 3PL, and accounts receivable.

  2. Set approval thresholds

Write your credit limit handling and discount thresholds on the approval decision.

  3. Add fulfillment variants

Add drop ship, special order or service lines if they bypass the warehouse.

  4. Define collections

Write who sends statements and reminders, and when, on the collections step.

  5. Approve the flow

Send it to the sales and finance leads for approval; the approved version stays with the chart.

Frequently asked questions

What is the order-to-cash process in NetSuite?

Create an estimate, convert it to a sales order when the customer accepts, get approval if the order is over the credit limit or discount threshold, fulfill the order, bill it to create the invoice, follow up on overdue invoices, accept the customer payment and apply it to the invoice, and deposit and reconcile the payment.

How does NetSuite handle customers over their credit limit?

The credit limit is set on the customer record, and a preference decides whether NetSuite only warns the user or blocks the transaction. Many companies add a sales order approval workflow so that orders over the limit wait for finance to approve them.

What is the difference between a sales order and an invoice in NetSuite?

A sales order records what the customer ordered and does not post to the general ledger. The invoice, created by billing the sales order, posts revenue and accounts receivable. Fulfillment sits between them for physical goods.
