SAP order-to-cash (O2C) process flow with T-codes
Editable SAP order-to-cash process flow from quotation (VA21) and sales order (VA01) through credit check, delivery and goods issue, billing (VF01) and incoming payment (F-28), in swimlanes by role.
What the SAP order-to-cash (O2C) process flow with t-codes process is
Order-to-cash in SAP crosses at least three modules (SD, LE and FI) and usually four teams, which is why it is so often documented as three separate diagrams that never quite meet. Drawing it once, end to end, shows the handoffs that matter: the credit block between sales and credit management, the goods issue that has to post before billing, and the open item that sits in receivables until someone clears it.
The credit check is the step worth modelling carefully. In S/4HANA it runs in SAP Credit Management, and a blocked order waits for a credit analyst, not for sales. If the map shows that as a sales step, nobody can explain why orders sit for two days after entry.
Use the template as the baseline for a fit-to-standard workshop or as training material for order entry, shipping and AR teams. Rename the lanes, delete the quotation stage if you take orders directly, and add the variants you run, such as rush orders, consignment or third-party orders.
What this flowchart covers
In this template
- Quotation (VA21) and sales order with reference (VA01), including the ATP availability check on schedule lines
- Credit check in SAP Credit Management, with the credit analyst release path for blocked orders
- Outbound delivery (VL01N or VL10), picking and posting goods issue (VL02N)
- Billing (VF01 or the VF04 billing due list) and the accounting document on the customer account
- Dunning (F150), collections follow-up and posting the incoming payment to clear the open item (F-28)
When to use this template
- You are designing the to-be O2C process for an S/4HANA implementation and need a flow that sales, logistics and finance all sign
- Orders are getting stuck between entry and delivery and you need to show whether the hold is credit, availability or picking
- You are onboarding customer service and AR staff who each see only their own transactions
- Auditors are walking the revenue cycle and ask where credit approval and goods issue sit relative to billing
How it works
Rename lanes to your sales organisation
Map the lanes to the teams that actually do the work: inside sales, credit management, the shipping point or warehouse, and accounts receivable.
Write your credit rules on the decision
Replace the generic credit check with your rule set, for example credit limit exceeded or items overdue more than 30 days, and name who releases blocked orders.
Add your order types
Rush orders, cash sales, consignment fill-up and third-party orders follow different paths after the sales order; add a branch for each one your business uses.
Connect billing to receivables
Check that the billing step and the accounting document sit in the right lanes so the handoff from SD to FI is visible.
Review with process owners
Send the flow to the sales and finance process owners for approval; comments and the approved version stay with the chart.
Frequently asked questions
What are the T-codes in the SAP order-to-cash process?
VA21 creates a quotation, VA01 the sales order, VL01N (or VL10 for collective processing) the outbound delivery, VL02N posts goods issue, VF01 or VF04 creates the billing document, F150 runs dunning and F-28 posts the incoming payment. Credit-blocked orders are reviewed in SAP Credit Management (UKM_MY_DCDS) in S/4HANA, or VKM1 in ECC.
What is the difference between order-to-cash and SAP SD?
SD (Sales and Distribution) is the SAP module for sales orders, deliveries and billing. Order-to-cash is the end-to-end business process, which also needs credit management, logistics execution, inventory and FI accounts receivable. An O2C process map shows the whole chain; an SD configuration document covers only part of it.
Where does the credit check happen in SAP?
At sales order creation and, depending on configuration, again at delivery or goods issue. If the check fails, the document is blocked and a credit analyst releases or rejects it. On the process map it belongs in a credit lane, separate from sales, so the waiting time is visible.
