Visio Data Visualizer add-in retired: what to use instead

The short version

• The retired product was the Excel add-in and its service, not every Visio Data Visualizer feature.

The workbook and the diagram are different assets

Microsoft's retirement notice concerns the add-in that drew diagrams inside Excel. It says embedded diagrams would stop loading and the add-in's data connection and refresh would stop working after March 2, 2026. It also says the underlying Excel table data remains intact. A workbook with step rows is therefore useful even when its embedded diagram is unavailable.

Microsoft advised subscribers to open a diagram in Visio for the web and save the resulting .vsdx file before the deadline. It advised consumers to use Show as Saved Image and copy the image into the workbook. These were preservation steps before retirement; an inaccessible diagram cannot now be recovered merely by following the old add-in instructions. Check OneDrive for an already saved .vsdx and check workbook copies for saved images before rebuilding.

For a current Microsoft workflow, open a Data Visualizer template in the Visio desktop app with Visio Plan 2. Its Create Diagram from Data wizard reads an Excel table and can refresh the resulting linked diagram. If the desired output is an editable browser flowchart instead, map the surviving rows into QueryChart. QueryChart is an independent alternative, not a Microsoft-endorsed successor or a .vsdx exporter. Rebuild from the surviving table

1. Recover descriptions and shapes

   Keep one action per row and identify the decision. The old embedded diagram is not required to recover these labels from the Excel table.

2. Reconnect the decisions

   Map old step IDs to QueryChart row positions, then check both decision destinations and their branch labels. Owner lanes make the approval handoff visible.

3. Review the complete chart

   Inspect the completed visualization against the preserved workbook table, including every loop, branch label, owner lane and ending.

How it works

1. Check for preserved files

   Look for a .vsdx created through Open in web, or an image saved into the workbook before retirement. Keep the original workbook even if the embedded diagram fails to load.

2. Copy the surviving process table

   Find Process Step ID, Process Step Description, Next Step ID, Connector Label, Shape Type, and any Function or Phase columns. Save a copy before editing IDs or sorting rows.

3. Choose the output

   Use Visio Plan 2 desktop Data Visualizer if you need a native Visio diagram and its workbook link. Use /excel-to-flowchart when a browser-based QueryChart diagram meets the need.

4. Rebuild and verify

   Map every old Next Step ID to the correct destination row. Verify each decision label, loop, lane, and terminal step against the source table before sharing.

Mistakes to avoid

• Treating the surviving table as a saved diagram

  Rows preserve the process definition, but they do not recreate the original styling, layout, or an editable .vsdx. Keep any pre-retirement export separately.

Frequently asked questions

Was all Visio Data Visualizer retired?

No. Microsoft retired the Data Visualizer add-in for Excel. It still documents Data Visualizer templates in Visio Plan 2 desktop.

Is the Excel table lost?

Microsoft says the Excel table data remains intact. The embedded diagram and its add-in refresh are separate from those rows.

Can QueryChart recover my old Visio file?

No. QueryChart can rebuild a new editable diagram from surviving structured rows; it does not recover an unavailable embedded diagram or export .vsdx.
